- Act as the right hand of the Operations Manager in daily tasks and priorities.
- Remind candidates of their interviews via calls, texts, and emails.
- Send out and manage calendar invites for interviews, ensuring all schedules are updated.
- Keep records of candidate interviews and status updates.
- Track deadlines, compliance requirements, and follow-ups.
- Handle email management, drafting, and basic correspondence.
- Prepare simple reports, presentations, and documents as needed.
- Assist with onboarding and orientation coordination for new VAs.
- Provide general administrative support to the team when required.
- Strong organizational and time management skills.
- Excellent communication skills (both written and spoken).
- Comfortable making reminder calls and handling professional correspondence.
- Tech-savvy – able to work with Google Workspace (Gmail, Calendar, Docs, Sheets, Meet) and willing to learn new systems
- Reliable, resourceful, and able to work independently with minimal supervision.
- Previous EA or administrative experience is a plus.
- Laptop or desktop
- Reliable internet (at least 25 Mbps), backup connectivity/power recommended
- Quiet workspace and professional phone etiquette
