Helper Heroes PH is looking for a proactive and detail-oriented Executive Assistant to support our Operations Manager in day-to-day activities. This role is key in keeping our operations smooth, ensuring candidate interviews run on time, and helping manage the fast-paced workflow of our growing home care virtual assistant agency.What You’ll Do:
  • Act as the right hand of the Operations Manager in daily tasks and priorities.
  • Remind candidates of their interviews via calls, texts, and emails.
  • Send out and manage calendar invites for interviews, ensuring all schedules are updated.
  • Keep records of candidate interviews and status updates.
  • Track deadlines, compliance requirements, and follow-ups.
  • Handle email management, drafting, and basic correspondence.
  • Prepare simple reports, presentations, and documents as needed.
  • Assist with onboarding and orientation coordination for new VAs.
  • Provide general administrative support to the team when required.
Requirements
  • Strong organizational and time management skills.
  • Excellent communication skills (both written and spoken).
  • Comfortable making reminder calls and handling professional correspondence.
  • Tech-savvy – able to work with Google Workspace (Gmail, Calendar, Docs, Sheets, Meet) and willing to learn new systems
  • Reliable, resourceful, and able to work independently with minimal supervision.
  • Previous EA or administrative experience is a plus.
Work Setup:
  • Laptop or desktop
  • Reliable internet (at least 25 Mbps), backup connectivity/power recommended
  • Quiet workspace and professional phone etiquette
