Job Summary: The Admin and Procurement Specialist is responsible for managing day-to-day administrative operations and overseeing procurement activities to ensure timely and cost-effective acquisition of goods and services. This role supports the smooth functioning of the office and ensures compliance with internal policies and external regulations. Key Responsibilities: Administrative Duties: Manage office supplies, equipment, and facility maintenance. Coordinate travel arrangements, meetings, and company events. Maintain and update administrative records and databases. Support HR with onboarding logistics and office orientation. Handle incoming and outgoing correspondence and documentation. Ensure compliance with health, safety, and security regulations. Procurement Duties: Source and evaluate suppliers, negotiate contracts, and maintain vendor relationships. Process purchase requisitions and issue purchase orders. Track and manage inventory levels and reorder supplies as needed. Monitor procurement budgets and ensure cost-efficiency. Maintain accurate procurement records and documentation. Coordinate with finance for invoice processing and payment follow-ups. Qualifications: Bachelor's degree in Business Administration, Supply Chain Management, or related field. 2+ years of experience in administration and/or procurement roles. Strong negotiation, organizational, and communication skills. Proficiency in MS Office and procurement software (e.g., SAP, Oracle, Zoho). Ability to multitask and work under pressure in a fast-paced environment. Preferred Skills: Knowledge of procurement regulations and best practices. Experience in vendor management and contract negotiation. Familiarity with ISO standards or other quality management systems.
