What we're looking for: We are seeking a highly dependable and experienced Executive & Personal Assistant to provide seamless, high-level support to a busy professional whose work and personal lives span multiple countries and time zones. This is a long-term role for someone who operates with a high degree of independence, precision, and discretion-someone who anticipates needs before they arise, and brings a thoughtful, detail-driven approach to both professional and personal support. We're not looking for someone who needs frequent guidance-we're seeking a trusted partner who takes full ownership of tasks, consistently delivers without oversight, and ensures every detail is handled with care and confidentiality. Responsibilities-what you&aposll do: Manage complex calendars, scheduling meetings and appointments across multiple time zones. Coordinate detailed travel arrangements for both business and personal trips, including international itineraries. Prepare executive briefings, meeting materials, and support investor or stakeholder communications. Serve as the main point of contact for correspondence, ensuring timely, professional responses. Track tasks, follow up on deadlines, and anticipate needs to ensure nothing is overlooked. Oversee family scheduling, including appointments, school logistics, and holiday planning. Liaise with household vendors and service providers, managing renewals, payments, and coordination. Maintain and reconcile accurate records of business and personal expenses, including receipt tracking and bookkeeping support. Organize and manage digital files, documents, and sensitive records with a high degree of confidentiality. Conduct light research and provide general administrative support to streamline day-to-day operations. Requirements: Minimum 3 years of experience in a high-level Executive Assistant or Personal Assistant role, supporting senior leadership or high-profile individuals. Demonstrated ability to manage complex calendars, coordinate international travel, and handle both professional and personal logistics with precision. Highly tech-savvy, with advanced proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets), Microsoft Office Suite (especially Outlook, Excel, and PowerPoint), and experience using digital scheduling and task management tools. Exceptional attention to detail-you consistently deliver error-free work, double-check everything, and take pride in producing high-quality outcomes. Proven ability to work independently, prioritize effectively, and manage multiple deadlines in a fast-paced, high-demand environment. Strong written and verbal communication skills with a professional and polished tone.
