Your Role: Job Summary An Executive Assistant to the Executive Leadership Team (ELT) is a high-impact support role responsible for managing the administrative and operational needs of the organizationu0027s Executive Leadership Team. This role ensures the leadership team operates as a cohesive unit by managing complex schedules, streamlining cross-functional communication, and providing the logistical framework necessary for VPs to drive departmental success. The EA to the ELT acts as the 'connective tissue' between various departments, requiring exceptional multi-tasking abilities, high-level discretion, and the ability to pivot quickly between different leadership styles. By managing the day-to-day operations of the VP tier, this role facilitates faster decision-making and ensures alignment across the companyu0027s core business units. Key Responsibilities and Accountabilities Multi-Executive Calendar Management: Synchronize and maintain complex schedules for multiple VPs. Proactively resolve scheduling conflicts between departments and ensure the leadership teamu0027s time is balanced between internal operations and external strategy. Cross-Functional Communication: Manage incoming and outgoing communications for the VP team. Act as a central hub for information, ensuring that messages are prioritized and routed to the correct leader or department. Group Travel Coordination: Plan and coordinate travel for multiple executives, often involving complex group itineraries for conferences, site visits, or regional tours, including all logistics and expense tracking. Leadership Meeting Coordination: Lead the logistics for VP-level meetings and cross-departmental summits. Prepare agendas, record action items, and-crucially-track progress on initiatives that require collaboration between multiple VPs. Departmental Document Support: Create and edit high-level reports, slide decks, and correspondence. Ensure a consistent professional 'voice' and brand standard across all documents originating from the VP level. Information & Records Management: Maintain organized digital repositories for leadership files. Ensure that VPs have immediate access to the data and historical records needed for departmental decision-making. Budget & Expense Administration: Manage expense reports and reimbursement requests for the VP team. Assist in monitoring departmental budgets and coordinating with Finance for quarterly reviews. Market & Internal Research: Conduct research on industry trends or internal metrics to provide the leadership team with data-driven insights for upcoming projects or board presentations. Cross-Departmental Projects: Lead or support special projects that span multiple functions (e.g., HR and Operations), serving as the project coordinator to keep VPs aligned on deadlines. Stakeholder Liaison: Serve as the primary point of contact between the VPs and their direct reports, as well as external partners. Build relationships to ensure smooth inter-departmental workflows. Internal Event Planning: Organize leadership retreats, department-wide town halls, and team-building events, managing everything from site selection to post-event follow-up. Confidentiality & Discretion: Maintain strict confidentiality regarding sensitive departmental data, personnel issues, and strategic pivots discussed at the VP level. Priority Alignment: Continually assess the 'big picture' to ensure the VPsu0027 time is spent on the organizationu0027s most urgent goals rather than getting bogged down in low-level tasks. Collaborative Problem-Solving: Identify bottlenecks in communication or workflow between departments and proactively suggest solutions to improve executive efficiency. Team Gatekeeping: Filter requests directed at the VP team, ensuring that only high-priority matters reach the executives while redirecting other queries to the appropriate middle management. Professional Branding Support: Assist VPs in maintaining their professional presence, whether through internal company updates or coordinating participation in industry webinars and panels. Interdepartmental Coordination: Work closely with other EAs and department heads to gather data, sync project timelines, and facilitate seamless cross-functional communication. Process Optimization: Identify opportunities to standardize administrative processes across the leadership team to reduce redundancy and save time. Continuous Learning: Stay current on project management tools and executive support trends to provide modern, tech-forward assistance to the VP team. Qualifications : Bacheloru0027s degree (any field). Minimum of two to three years of experience as an Executive Assistant or Administrative Assistant. Demonstrated experience managing complex calendars and coordinating travel for multiple Vice Presidents simultaneously. Proven ability to serve as the 'connective tissue' and central communication hub, effectively linking different departments. Skilled in leading the logistics for leadership summits and diligently tracking action items across various teams. A strict commitment to maintaining the utmost confidentiality regarding sensitive company data and personnel issues is essential. Proficiency in gatekeeping and filtering requests to strategically ensure leadershipu0027s focus remains on top-tier organizational goals. Ability to create high-quality reports and slide decks that align with a consistent executive brand standard. Competent in managing budgets, tracking expenses, and maintaining precise digital records.
