Overview The Operational Support and Governance Specialist provides critical support in implementing operational processes, tracking performance, and ensuring compliance within the Operational Support and Governance Department. This role supports core functions such as contract coordination, payment processing (RFPs, PRs, POs) , outsourced vendor performance monitoring , and KPI tracking . The role also contributes to internal engagement efforts to support a positive and collaborative team culture. Functions & Responsibilities Support day-to-day operational activities, ensuring compliance with governance processes and documentation standards. Track and update records for contracts, service agreements, and vendor engagements. Trigger the processing and monitoring of RFPs, PRs, and POs to ensure timely payment and procurement alignment. Coordinate with internal teams (Finance, Procurement, Technical Ops) for process support and information validation. Assist in preparing operational dashboards, reports, and presentations. Maintain audit-ready documentation for all operational processes. Vendor & Outsource Monitoring: Assist in tracking outsourced partner performance vs. SLAs/KPIs; support review documentation and escalate deviations. DODM Units KPI Performance Tracking: Support the collection, consolidation, and reporting of performance metrics for DODM units performance tracking Contract Support: Facilitate contract lifecycle activities including document routing, renewal reminders, and compliance tracking. Team Engagement: Contribute to internal engagement efforts such as organizing birthday celebrations, team achievements, or culture-building activities on a quarterly basis Employment Standards Work Hours: Specialists typically work standard office hours (Monday-Friday), but may occasionally support extended hours during peak periods or urgent escalations. Work Environment: Primarily office-based. Regular collaboration with various departments and vendors is expected. Ethical Standards: Maintain confidentiality, accuracy, and professionalism in all tasks. Comply with internal controls, operational policies, and audit requirements Demonstrate integrity, attention to detail, and proactive communication. Job Skills & Qualifications Education: Bachelor's degree in Business Administration, Operations Management, Information Systems, or a related field. Experience: 1-2 years of relevant experience in operations support, administration, governance, or vendor coordination- preferably in telecommunications, IT, or digital services. Experience handling documents such as RFPs, PRs, and POs, and working with procurement or finance teams is a strong advantage. Governance Understanding: Knowledge of operational governance, compliance tracking, audit readiness, and documentation control. Process Knowledge: Familiar with contract workflows, procurement (RFPs, PRs, POs), vendor performance tracking, and SLA/KPI monitoring. Technical Skills: Proficient in Microsoft Excel, Word, and PowerPoint; experience with workflow or document systems (e.g., SharePoint) is a plus. Communication & Problem Solving: Strong coordination, documentation, and communication skills; detail-oriented with good organizational and analytical abilities .
