- Manage and organise large volumes of administrative work across the clinic
- File, retrieve, and maintain accurate records and documentation
- Ensure clarity and structure across all administrative processes
- Manage calendars, scheduling, and appointment coordination
- Handle inbox management and email communication
- Support phone-based tasks using VOIP systems such as RingCentral or similar
- Assist with general personal assistant duties for leadership
- Maintain organisation across Google Drive, files, and shared systems
- Support day-to-day operations with a strong focus on execution and follow-through
- Strong experience in administrative or Executive Assistant roles
- High level of organisation, accuracy, and attention to detail
- Ability to concentrate for extended periods on admin-heavy tasks
- Confident in managing filing systems, data, and document organisation
- Ability to take instructions and deliver outcomes without excessive clarification
- 5+ years of experience in an Executive Assistant or operational management role, ideally supporting Australian C-Suites
- Proficient in Google Workspace, including:
- Google Drive
- Google Sheets
- Gmail
- Google Calendar
- Comfortable managing shared files, folders, and structured documentation
- Extremely clear and direct communicator
- Able to receive and relay information accurately without distortion
- Professional and efficient in communication
- Not reliant on small talk; focused on clarity and delivery
- Previous experience in a medical or clinic environment is preferred but not essential
- Exposure to medical software is advantageous (ideally Shexie)
- Understanding of structured, process-driven environments is beneficial
- Highly task-focused and execution-driven
- Comfortable in a fast-paced and growing business
- Able to work independently and stay organised without supervision
