About The Role We are seeking an experienced and detail-oriented Account and Practice Coordinator to join our Australian team. In this role, you will be responsible for managing and coordinating various tasks as per the list below. You will work closely with our practice team members and clients to ensure timely delivery of services and accurate financial reporting. The ideal candidate will have a strong background in practice management, client services, and bookkeeping tasks. An opportunity to get promotion to the practice manager for the right candidate. Duties And Responsibilities Process accounting clients' end of year compilations of financials and tax returns for e-signing and associated follow up. Provide ATO reports and assist clients with lodging tax compliance documents (income tax, activity statements). Review ATO letters and take appropriate actions. Process correspondence related to ASIC annual reviews, company changes and lodging forms. Set up entity structures and relevant registrations such as Business name, FN/ABN/GST/PAYG. Prepare Letters of Engagement (Client Service Agreements) and assist with client onboarding and offboarding. Bookkeeping with follow up calls and email to clients and accountants Manage workflow by following up with accountants and clients for Income tax returns and activity statements. Process client referrals to banks and compile documents needed for bank loans. Handle new and recurring invoices, direct debit payments for the practice. Support the bookkeeping team by setting up bank feeds. Enter and update client details and financial data into accounting software. Provide administrative assistance to follow up clients, including managing correspondence, scheduling meetings, and maintaining files and records. Book training sessions for team members and assist with email campaigns and website updates. Manage access, training and implementation of various software apps Perform other ad hoc duties as required by the client. About You Minimum 5 years of Australian experience in a similar role (practice management/client services/bookkeeping). Must have experience in the following tasks: Formation of company, Trusts and SMSF Applying for ABN TFN GST registration Preparing and sending Engagement Letter via Practice Ignition Preparing send sending Adhoc Invoices form Xero ASIC and ATO Management Background in bookkeeping tasks, especially payroll, is desirable but not essential. Preferably with experience in client management and executive assistant duties. Demonstrated agility and ability to adapt to diverse business settings. Proactive team member with exceptional written and verbal communication skills, and meticulous attention to detail. Highly organized with the ability to manage deadlines effectively and ability to learn quickly. Computer literate with experience using the following software: (preferred but not required) QuickBooks Xero/Xero Practice Manager Practice Ignition MS Office Applications (MS Word, MS Excel) Show more Show less
