- Provide administrative support for project teams by managing project documentation and coordinating communications among stakeholders.
- Maintain and update project records, including tracking issues, risks, and change requests.
- Assist in preparing project status reports and monitoring project progress against established timelines.
- Support the setup and maintenance of project tracking tools and documentation repositories.
- Assist with project-related financial processes, including budget monitoring, transaction tracking, and procurement coordination.
- Support contract-related administrative tasks, asset tracking, and audit readiness activities.
- Help manage project measurements and reporting requirements to ensure accurate documentation of progress and outcomes.
- Support execution of project plans and coordinate requests related to project services or resources when required.
- Organize and coordinate meetings, including scheduling sessions, preparing materials, and recording meeting minutes.
- Assist in developing presentations and documentation for project updates or internal communication.
- Coordinate training arrangements and logistics for project team members when necessary.
- Work closely with various internal departments, including operations, human resources, legal, and finance, to support project-related processes.
- Facilitate communication among multi-vendor teams and stakeholders to support smooth project execution.
- Bachelor’s degree in any relevant field.
- Fluency in Japanese and English, including speaking, reading, and writing (Kanji proficiency required)
- Ability to translate documents and communications between English and Japanese
- Strong communication, coordination, and organizational skills
- Analytical thinking and problem-solving abilities with attention to detail
- Ability to estimate effort requirements and understand the potential impact of proposed solutions
- Experience working collaboratively with cross-functional or multi-vendor teams.
- Willingness to work on a client-based schedule, which may include day, mid, or night shifts
- Flexibility to work from designated office locations as required by project needs.
- Japanese Language Proficiency Test (JLPT) N1 or N2 certification is preferred.
