Logistics Admin Assistant (AU/US FMCG/Warehouse Experience Preferred)

We are looking for a detail-oriented and organised Logistics Administrative Assistant to support day-to-day logistics operations and administrative processes for a leading supply chain team. The ideal candidate has prior experience working within logistics or warehousing-preferably in a Fast-Moving Consumer Goods (FMCG) or similar high-volume environment-and is comfortable processing invoices, tracking shipments, and managing documentation in coordination with multiple internal departments. Experience supporting clients or stakeholders in the Australian or US markets is preferred. Responsibilities Invoice Management: Process and code logistics invoices accurately, ensuring timely and correct entries in line with company procedures. Data Entry & Reporting: Maintain and update spreadsheets and assist in preparing monthly reports, including accrual reports. POD Retrievals: Retrieve Proof of Deliveries (PODs) using various carrier platforms to support internal and client enquiries. Logistics Coordination Support: Assist in facilitating logistics operations including inventory tracking, transportation updates, and documentation handling. Administrative Support: Handle general admin duties such as data entry, record-keeping, document filing, and assisting with operational logistics paperwork. Cross-Department Coordination: Liaise with internal teams (warehouse, procurement, finance) to ensure smooth end-to-end logistics workflows. Problem Solving: Flag and troubleshoot logistics issues; escalate unresolved matters to appropriate team members. Compliance Support: Assist in ensuring compliance with company protocols, including quality assurance and ISO / HACCP / Safety standards. Qualifications At least 2-3 years of experience in logistics, warehouse admin, or supply chain support roles Background in FMCG, food manufacturing, or high-volume product environments highly preferred Exposure to AU or US logistics processes and invoicing is a strong advantage Advanced proficiency in Microsoft Excel is a must (pivot tables, formulas, data tracking) Familiarity with MS Office and logistics/ERP platforms Excellent attention to detail, time management, and organisation Strong written and verbal communication skills to coordinate across departments Basic understanding of ISO, HACCP, and internal safety standards Ability to work both independently and collaboratively in a team-based environment Show more Show less
