What you'll do: As a Project Administrator , you will be responsible in providing assistance to staff on day-to-day management of work orders/purchase orders, assisting in project administration (tracking works and staff) and ensuring staff are adhering to company policies/procedures. You will report to the Operations Manager and work directly with National Executives, Team Managers and Consultants. Key responsibilities for this role include: Management of work/purchase orders to ensure compliance to contract services and set KPIs; Assist and coordinate Purchase Orders for projects / suppliers; Assist in the production of financial data through to final invoicing; Utilising of accounting and project management software including Quickbooks, WorkFlowMax and Odoo; Coordinate with project managers to review project requirements and assist with tracking site works; Coordinate with staff across various disciplines to ensure staff maintain project schedules; Oversee timesheet entries and ensure of weekly completion across the teams; Reporting of financial data linked to quotations and work in progress (WIP); Assist in data collection and loading onto client specific online databases; Ensure compliance to company safety requirements; and Manage the day to day running of the office including equipment procurement, staff onboarding/inductions, subcontractors etc. Successful candidates must have: Tertiary degree or diploma in project management or similar. Minimum 3 years experience in a similar role. Excellent verbal/written/analytical skills. Strong Excel/Word skills required. Excellent interpersonal skills, both friendly and professional/courteous when necessary. Attention to detail. Aptitude to work to tight deadlines within agreed timescales. Disciplined time-management to cope with pressure/many tasks simultaneously. Good tasking and planning mindsets are important. Strong attention to detail. Willingness to be flexible. Commercial awareness and appreciation. Willingness to work-on-site Alabang, Muntinlupa City.
